Administrators can mass assign rating and reviewing officials to many employees at once within their organization. This mass-assignment feature simplifies managing and allocating responsibilities, ensuring each employee is linked to the right officials for performance evaluations.
To mass assign the officials, administrators must:
- Click Admin from the top navigation bar.
- Next, click Assign User Officials under Users and Permissions.
- The Assign Officials tab will open. Here are the fields and descriptions for the Assign Officials screen in USA Performance:
- Rating Official (Dropdown): Allows administrators to select the supervisor who will serve as the Rating Official for the selected employees. This individual is responsible for assessing performance and assigning ratings.
Reviewing Official (Dropdown): Allows administrators to assign a Reviewing Official, who provides an additional level of oversight and reviews the Rating Official’s evaluations.
Show: Employees Without Officials: Displays only employees who do not currently have Rating or Reviewing Officials assigned.
Show: Employees with Officials: Displays only employees who already have officials assigned.
Show: All Employees: Displays all employees, regardless of assignment status.
Assign Officials (Top Button): Assigns the selected Rating Official and/or Reviewing Official to all selected employees.
Select All / Unselect All: Selects or deselects all employees currently displayed in the table.
Search (Field + Button): Allows searching for employees by name, email, or other identifiers.
Reset: Clears the search input and restores the default employee list.
Select Employees: Checkbox column used to select one or multiple employees for official assignment.
Name: Displays the employee’s full name.
Email: Shows the employee’s government email address.
Organization: Indicates the office or division where the employee works.
Pay Plan–Series–Grade: Shows the employee’s pay plan, occupational series, and grade (e.g., GS-0343-12).
Rating Official: Displays the currently assigned Rating Official for each employee.
Reviewing Official: Displays the currently assigned Reviewing Official for each employee.
Display Records (Dropdown): Adjusts how many employee entries appear on each page (e.g., 10, 25, 50).
Pagination Controls (First, Previous, Next, Last): Navigate between pages of employee entries.
Admins may specifically filter to show employees without officials assigned, employees with officials assigned, or all employees.
Admins also can perform a search for users to filter the results. Click Search.
Select the rating official and/or reviewing official from the Rating Official or Reviewing Official drop down. You can enter the official’s full name or email address in the search bar.
- Select the Select User(s) check box to the left of the employee name(s) for which the official should be assigned.
- Click Assign Officials located at either the top or bottom of the page. You will receive a confirmation message.
Assign Officials from Dashboard
The administrator will get a notification in the Tasks Requiring My Attention section, showing the total employees needing rating and reviewing officials assigned. This tasks directly to the assignment function. The administrator can then follow the steps above to complete the rating process efficiently.
On the Dashboard, find the Tasks Requiring My Attention section. Look for the task and click Assign Rating and Reviewing Officials under Admin Tasks.
The Assign Officials tab opens the interface to assign officials. Follow the steps carefully to ensure proper assignment.
