The SES Rating Distribution Report provides critical element and summary rating information for executives. Administrators can generate the Rating Distribution Report for SES that will display information for the distribution of ratings for users in your Agency or the organization to which you have permissions.
For SES employees, you can choose to report the results by a selected combination of the Critical Elements. This report also allows you to view ratings made by the Rating Official, Performance Review Board, and the Appointing Authority, individually or a selected combination.
- Click Reports.
Click SES Rating Distribution Report.
- SES Rating Distribution Report options become available. Below are the fields:
Year – Selects the appraisal year for which SES rating data will be reported.
Rating Cycle Groups – Filters results by the SES rating cycle group (e.g., annual appraisal periods).
Plan Status – Filters by the current status of SES performance plans (e.g., Draft, Finalized, Closed).
Organizations – Narrows results to specific agencies, sub-agencies, or organizational units.
Critical Elements – Filters by the SES critical elements included in the performance plans (e.g., Leading People, Business Acumen).
Rating Selections – Allows filtering by the overall summary rating level assigned (e.g., Level 5, Level 4, Level 3).
Level – Filters by the element-level rating values applied within SES plans.
Generate Report – Runs the report using the selected filter criteria and displays the SES rating distribution results.
- You must select the Year from the drop-down menu. Select additional options you would like included in the report.
Below is an example of how to select multiple options in the Rating Selection category or alternately you can select the option to Select All.
Once all selections are made, click Generate Report.
Click Export to export the file to CSV, save as Excel, and manipulate results as needed.
Interpreting Reports
Below are the descriptions of the Plan Statuses included on the Rating Distribution Reports. Additional guidance such as “Awaiting Employee Signature” will also show as applicable.
Plan Status
| Plan Status | Description |
|---|---|
| Active | Identifies the active performance plan in a particular rating cycle. |
| On Hold | Available for employees who will be away from the office for an extended period of time or in cases where an employee needs to be put on another performance plan. Common examples include details, PIPs, and military leave. |
| Completed | Generated once a performance plan has been completed through the rating phase. |
| Closed | Closes a plan when an employee no longer needs to be on that particular performance plan or no longer requires a plan. Common examples include when an employee is assigned to an incorrect template, departs the agency or does not require a rating (less than 90 days in the position). |
| Under Review | Prevents the submission of a completed plan to eOPF at the end of the rating cycle. |
| Unrateable | Identifies that a performance plan does not require a final rating. Performance plans marked with this status will transmit to eOPF at the end of the cycle. |
